ACCESS REVIEW

Give every shared fax task a named owner.

Identity, role, number assignment, and leaving-team changes are reviewed as one access decision.

01 / ADD A MEMBER

Invite people into an existing team account

An administrator starts the invitation from Users. The invited person completes the secure invitation flow and then appears in the team list with the access and number assignments managed by the account.

Use an individual work email for accountability. Do not share one login across people when the workflow needs to show who handled a document or changed a setting.

  1. 01Open Users and choose Invite New User.
  2. 02Enter the member's details and send the invitation.
  3. 03Wait for the invitation to be accepted before assigning active work.
  4. 04Verify the member, role, status, and number access in the team list.
02 / ACCESS CONTROL

Disable access when work must pause but ownership still matters

Disabling a member prevents further account use while preserving the membership record needed for review and reassignment. Use it when access must stop before the organization decides whether to remove the member.

Check assigned numbers, active work lists, notifications, connected applications, and account-owner responsibilities as part of the same action.

03 / NUMBER OWNERSHIP

Assign the numbers required by the member's work

The member action menu can manage number assignments. A user may receive multiple numbers, and a number may be shared where the account and workflow permit it.

Assignments determine access and delivery responsibility. They do not replace the separate settings for email or Slack notifications.

04 / LEAVING

Reassign the work before deleting a member

Deletion should follow a review of number assignments, unread incoming faxes, pending faxes, notifications, and ownership of connected tools. Transfer required responsibilities first.

After removal, verify that the former member can no longer sign in and that every shared number and work list still has an accountable owner.

05 / ROLE BOUNDARY

Separate administration, daily work, and notification access

Administrative access changes numbers, members, plans, and account settings. Daily work access handles documents and work lists. Notification recipients may receive selected updates without automatically becoming workspace members or number owners.

Grant only the role and number scope the work requires, review privileged access separately, and do not use a broad shared account to avoid defining responsibility.

06 / ACCESS REVIEW

Verify the team after every material change

Reopen the member list after invitation, assignment, disablement, reactivation, or deletion. Confirm member state, number access, default ownership, notifications, connected accounts, unread work, and any pending faxes affected by the change.

Run a periodic review for inactive people, unassigned numbers, excessive access, stale connections, and work without a backup owner. Keep the record details and timestamps needed to explain administrative changes.

COMMON QUESTIONS

Details to check before you continue.

Who can invite or manage team members?

The account's administrative role manages invitations, member status, deletion, and number assignments through Users.

When should a member be disabled instead of deleted?

Disable access when it must stop immediately but the organization still needs time to review and reassign the member's work.

Are fax-number assignment and notifications the same setting?

No. Assignment controls number access and responsibility; email or other notification recipients are configured separately.

What must be reviewed before deleting a member?

Review assigned numbers, unread intake, pending faxes, connected tools, notification ownership, and administrative responsibility.
