SELECT THE RECORD
Open the affected item before contacting support
For a fax issue, open Inbox, Outbox, or Sent and note the fax record number, approximate time, destination suffix, current state, and visible failure detail.
For an account issue, note the registered email, plan, role, number, member, payment record, or connected application involved.
SAFE CONTEXT
Provide record numbers instead of confidential documents
Do not attach the fax document, password, authenticator code, complete payment data, secret key, or unnecessary personal information to an ordinary support email.
A precise record number and visible state usually provide a safer and faster starting point for investigation.
SELF-CHECK
Confirm common account and input conditions once
Check the complete destination, file preview, account access, assigned number, page allowance, connection authorization, and latest status. Do not repeat a payment, number release, or duplicate fax blindly.
ESCALATION
Explain the expected result and the result shown
Include concise reproduction steps, when the behavior began, whether it affects one or all records, and the exact expected and observed states. Security and legal incidents require the escalation process set for them.
SEVERITY AND TIMING
Distinguish an isolated question from an active service incident
State whether the issue affects one record, one member, one number, or the whole account; whether a supported workaround remains available; and whether a time-sensitive business process is blocked. Do not describe an ordinary delivery failure as a platform outage without checking another example.
For a suspected security incident, stop sharing sensitive material, keep the record numbers and timestamps, and use the designated security contact once the operating company publishes it. Ordinary support email is not a secure document-transfer channel.
